Cancellation Policy
At Dynamic Travels by Shinto Pvt Ltd, (short form “Dynamic Travels” in this page) we work with multiple third-party suppliers including hotels, airlines, transport operators, destination management companies (DMCs), and tour operators. Cancellation terms vary depending on the service booked.
1.1 General Cancellation Rules
- All cancellation requests must be submitted in writing via email.
- Cancellation charges are applicable as per supplier rules and timelines.
- Service fees charged by Dynamic Travels (if any) are non-refundable.
- Cancellation timelines are calculated based on the destination’s local time.
- No-shows are 100% non-refundable.
1.2 Tour Packages (Third-Party / Group Departures)
Cancellation charges depend on the respective tour operator’s policy. Typically:
- 30+ days before departure – Deposit amount non-refundable
- 15–29 days before departure – 25–50% cancellation charges
- 7–14 days before departure – 50%–75% cancellation charges
- Less than 7 days / No show – 100% cancellation
Exact terms will be shared at the time of booking confirmation.
1.3 Hotel Bookings
- Refunadable rates: Cancellation allowed within the free cancellation window as per hotel policy.
- Non-refundable rates: 100% cancellation charges apply once booked.
- Peak season / Event dates may carry stricter cancellation rules.
1.4 Transfers & Sightseeing
- 48–72 hours prior to service – Free cancellation (subject to supplier terms)
- Less than 48 hours – 100% cancellation charges
- No-show – 100% cancellation charges
1.5 Visa & Travel Insurance
- Visa processing fees are non-refundable once the application is submitted.
- Travel insurance is non-refundable once issued.

Refund Policy & Timelines
Refunds (if applicable) will be processed only after we receive the refund from the concerned supplier.
2.1 Standard Refund Timelines
- Domestic bookings: 7–10 working days
- International bookings: 10–21 working days
- Third-party group tours: As per operator’s refund cycle (may extend up to 30–45 working days)
Refund timelines begin from the date Dynamic Travels receives funds from suppliers. Refunds will be processed via the original mode of payment unless otherwise agreed. Bank charges, payment gateway charges, and currency conversion differences (if any) are non-refundable.

Supplier & Partner Service Level Agreements (SLAs)
Dynamic Travels acts as a facilitator between clients and third-party service providers.
3.1 Our Commitment
- Provide confirmed bookings as per invoice.
- Share vouchers and confirmations before travel.
- Coordinate with suppliers in case of service disruption.
3.2 Third-Party Responsibility
Hotels, airlines, transport providers, and tour operators are responsible for:
- Service delivery standards
- Timely pickups and tours
- Room allocations and hotel facilities
- Flight schedules and operational changes
Dynamic Travels is not liable for:
- Airline delays or cancellations
- Natural disasters / force majeure
- Political unrest
- Supplier bankruptcy or operational failures beyond our control
However, we will make reasonable efforts to assist and resolve issues.

Visa Guidelines (General Information)
Visa rules are subject to change without prior notice and are governed by respective embassies and immigration authorities.
4.1 Common Visa Categories
Visa on Arrival (VOA), E-Visa, Pre-approved Sticker Visa, Schengen Visa, Transit Visa.
4.2 Important Notes
- Visa approval is solely at the discretion of the respective embassy/consulate.
- Processing times vary by destination.
- Incomplete documentation may result in rejection.
- Visa fees are non-refundable, even in case of rejection.
- Clients must ensure passport validity (minimum 6 months from date of travel unless otherwise specified).
Dynamic Travels assists with documentation guidance but does not guarantee visa approval. For destination-specific visa rules, please contact our team.

Airport Pickup & Transfer Arrangements
Airport transfers are arranged through local partners or destination management companies.
5.1 Standard Pickup Procedure
- Driver details shared 24–48 hours before arrival (where applicable).
- Driver will wait at Arrival gate with placard, designated meeting point, or as specified in voucher.
- Standard waiting time: 60–90 minutes for international arrivals, 45–60 minutes for domestic arrivals.
5.2 Delayed Flights
- Clients must inform us immediately in case of flight delays.
- Transfers are scheduled based on flight number provided at booking. Failure to inform may result in no-show charges.
5.3 Missed Pickup Protocol
If driver is not located: (1) Contact the local emergency number mentioned on the voucher. (2) Do not leave airport without informing us.

Pricing & Availability
- All prices are subject to availability at the time of confirmation.
- Rates may change due to supplier revisions, currency fluctuations, or seasonal surcharges.
- Confirmation is subject to receipt of advance payment.

Force Majeure
Dynamic Travels shall not be liable for cancellations, delays, or disruptions caused by natural disasters, pandemic restrictions, government regulations, strikes, war or civil unrest. Refunds in such cases will be subject to supplier policies.

Acceptance of Terms
By confirming a booking with Dynamic Travels, clients acknowledge and agree to the above policies and supplier-specific terms shared at the time of booking.
